2. What data do we collect?

  • Bookings: team name, email address, phone number, optional notes.
  • Volunteer registrations: name, email address, phone number, optional comments.
  • Donations: email address and payment details (processed by external payment providers).
  • Technical data: IP address and browser information (solely for security and abuse prevention).

3. Legal basis for processing

  • Performance of contract: for processing bookings and payments.
  • Consent: for volunteer registrations and sending confirmation emails.
  • Legitimate interest: for security, abuse prevention, and rate limiting.

4. How do we use your data?

  • Processing and confirming bookings.
  • Sending confirmation and reminder emails.
  • Processing volunteer registrations.
  • Processing donations to charity.
  • Protecting our website against abuse.

5. Visual Materials

  • During the event, photographs and video recordings are made that may be used for promotional purposes, including our website, social media, and other communication materials.
  • By participating in the event, you consent to the creation and use of this visual material. If you do not wish to be photographed or filmed, you can communicate this before the event.
  • Additionally, security cameras are present for the safety of participants and monitoring of the premises. Security camera footage is used exclusively for safety purposes and is deleted within 30 days, unless required for an ongoing investigation.

6. Retention periods

  • Booking data: up to 1 year after the event.
  • Volunteer data: until consent is withdrawn, or up to 1 year after the event.
  • Payment data: retained by payment providers (Mollie/Stripe) according to their own policies.
  • Security logs (IP addresses): up to 90 days.

7. Your rights

  • You have the right to access, correct, and delete your personal data.
  • You have the right to restrict processing and to data portability.
  • You can withdraw your consent at any time.
  • You have the right to object to processing.
  • Contact info@escaperoomraalte.nl to exercise your rights. We will respond within 30 days.

8. Cookies

  • We only use functional cookies that are necessary for the website to operate.
  • These cookies are used for session management and remembering your language preference.
  • No tracking, analytics, or marketing cookies are used.
  • Payment providers may place their own cookies during the payment process.

9. Sharing with third parties

  • Payment providers (Mollie, Stripe) for processing payments.
  • Email provider (Postmark) for sending transactional emails.
  • Hosting providers (Railway, Supabase) for technical infrastructure.
  • We never sell your data to third parties or share it for marketing purposes.

10. International data transfers

  • Some of our service providers (such as Supabase and Railway) may process data outside the European Economic Area (EEA).
  • In such cases, appropriate safeguards are in place, such as Standard Contractual Clauses (SCC), to protect your data.
  • Payment providers Mollie and Stripe process data in accordance with their own privacy policies and GDPR compliance.

11. Automated decision-making

  • We do not use automated decision-making or profiling based on your personal data.

12. Security

  • All data transfer is encrypted via SSL/TLS.
  • We apply rate limiting and IP filtering against abuse.
  • Personal data is anonymized in log files (email masking).
  • Access to data is restricted to authorized personnel.
